These terms govern the relationship between MiqatHub (“we”, “us”) and the travel agency or tour operator (“you”, “the Agency”) using our B2B Umrah visa services and agency platform.
1. Business-to-business only
Our services are supplied exclusively to registered travel businesses. We do not contract with, or sell to, individual pilgrims. By registering you confirm you are acting for business purposes, which means consumer protection rules applicable to B2C sales do not apply to this relationship.
2. Agency registration and verification
Access requires an approved account. You agree to provide accurate business registration documents, any travel licence required in your country, and identification for the business owner. We may refuse, suspend or withdraw an account where verification fails, where documents appear altered, or where we reasonably suspect misuse.
You are responsible for keeping your login credentials confidential and for all activity carried out under your account.
3. Your responsibilities when submitting applications
- Ensure all traveller details and documents are complete, legible, accurate and genuine.
- Obtain each traveller’s informed consent to share their personal and passport data with us and with Saudi authorities, and provide them with a privacy notice.
- Confirm each traveller’s eligibility, including nationality, residence status and passport validity requirements.
- Submit applications with sufficient lead time before intended travel.
Applications containing inaccurate or fraudulent information may be rejected by the authorities, and we accept no liability for the consequences of information you supply.
4. Visa issuance is decided by the authorities
This is the most important limitation of our service. We process and submit applications with professional care, but the decision to grant, refuse, delay or revoke a visa rests solely with the competent Saudi authorities. We do not guarantee that any visa will be issued, nor that it will be issued within a particular timeframe.
Government fees are generally non-refundable once an application is submitted, regardless of outcome.
5. Pricing, payment and wallet balance
Wholesale pricing is quoted to registered agencies and depends on market and order volume. Quoted prices exclude taxes unless stated otherwise, and may change where government fees or supplier costs change.
Unless separately agreed in writing, services are prepaid from your account balance. We may withhold processing where the balance is insufficient or an invoice is overdue.
6. Cancellations and refunds
Cancellation rights depend on how far an application has progressed and on the rules of the relevant authority or supplier:
- Before submission — our service fee is refundable.
- After submission — government fees are non-refundable; our service fee may be retained in whole or part to cover work performed.
- Ground services (hotels, transport, tours) follow the cancellation terms of the individual supplier, disclosed at booking.
Specific fee and refund figures are set out in your partnership agreement.
7. Ground services in Saudi Arabia
Transfers, accommodation, ziyarah tours and assisted Umrah are supplied by us or by our affiliated company in Saudi Arabia, and are subject to availability. Where we act as an intermediary for a third-party supplier, that supplier’s terms also apply.
8. Platform availability
We aim for continuous availability but do not warrant uninterrupted or error-free operation. We may suspend access for maintenance, security or upgrades, and will give notice of planned downtime where practicable.
9. Liability
Nothing in these terms excludes liability that cannot lawfully be excluded, including liability for death or personal injury caused by negligence, or for fraud.
Subject to that, we are not liable for:
- Refusal, delay or revocation of a visa by the authorities
- Missed flights, accommodation or travel arrangements resulting from such decisions
- Losses arising from inaccurate, incomplete or late information supplied by you or a traveller
- Indirect or consequential loss, loss of profit, revenue, or reputational damage
Our total aggregate liability arising from or in connection with the services is limited to the fees you paid us for the specific application or booking giving rise to the claim.
We strongly recommend that you and your travellers hold appropriate travel insurance and that you do not issue non-refundable tickets before a visa is confirmed.
10. Data protection
Each party will comply with applicable data protection law. Where we process traveller data on your instructions, we do so as your processor under a data processing agreement. See our Privacy Policy for details.
11. Term and termination
Either party may terminate the partnership on written notice. We may suspend or terminate immediately where you breach these terms, submit fraudulent documents, or fail to pay. On termination, applications already submitted continue to completion where possible, and accrued fees remain payable.
12. Governing law
These terms are governed by the law of Portugal, and the courts of Portugal have exclusive jurisdiction over any dispute, without prejudice to any mandatory rules of your country of establishment.
